Accounts receivable interviews test invoicing accuracy, cash application, collections conversations that recover money without losing the customer, reconciliations and the reporting that tells finance what is really collectible. Expect a collections scenario, an application puzzle and questions about the systems in the posting. The payables side is covered in accounts payable specialist interview questions, the broader books role in bookkeeper interview questions, and the customer conversation in how do you handle a customer complaint. This page gives 10 questions with what a strong answer contains, 3 sample answers you can adapt, a table of the rounds to expect, and a practice plan for the week before.

Accounts receivable specialist interview questions and what strong answers contain

  1. Walk me through your month-end AR process. Invoices issued and posted, cash applied, unapplied cash cleared, aging reviewed, reserves assessed, reconciliation to the general ledger, reporting.
  2. A customer short-pays an invoice with no explanation. What do you do? Apply the payment, leave the balance open, contact the customer the same day, identify the dispute, route it to sales or operations, document.
  3. How do you prioritise collections calls? Largest and oldest balances first, promise-to-pay follow-ups, accounts near credit hold, strategic customers handled with sales.
  4. A long-standing customer is 60 days late and says they will pay next month. How do you respond? Firm and friendly, ask what changed, get a specific date and amount, consider a payment plan, document, check credit exposure.
  5. How do you apply a payment that does not match any invoice? Check remittance, contact the customer, look for combinations, park in unapplied with a note, resolve within the week.
  6. How do you reconcile AR to the general ledger? Subledger to GL, identify timing and posting differences, resolve, document.
  7. How do you handle a dispute between sales and the customer about pricing? Facts from the order and the contract, escalate to sales leadership, credit memo only with approval, document.
  8. Which reports do you produce and what do you watch for? Aging, DSO, unapplied cash, disputes, promise-to-pay; trends not snapshots.
  9. Describe a collections win. The account, the approach, the amount recovered.
  10. Tell me about an error you made and what changed. Specific, owned, process fix.

Sample answers

A customer short-pays an invoice with no explanation.

I apply what they paid against the invoice so the record is accurate and leave the difference open, never written off by default. Same day, I email and call: 'We received your payment, thank you; it was short by this amount on invoice so-and-so. Can you tell me why?' Usually it is a pricing dispute, a damaged shipment or a tax question, and each goes to a different person. I route it, put a note on the account with the reason and the owner, and follow up in a week. Short-pays left alone become bad debt.

A long-standing customer is 60 days late and says they will pay next month.

I stay friendly and I stay specific. 'I appreciate that; which date next month, and will it be the full amount?' Then I ask what changed, because a good customer suddenly slow is often a cash problem I need to flag, or a dispute nobody told me about. If they need time, I offer a payment plan with dates, and I put every commitment in writing. I check their total exposure and tell the credit manager if new orders should wait. The relationship matters, which is exactly why I do not let the balance drift to 90.

How do you apply a payment that does not match any invoice?

I check the remittance and the bank detail first; the answer is often there. If not, I look for a combination of open invoices that sums to it, minus any credits. If it still does not fit, I call the customer's payables team, who usually know. In the meantime it sits in unapplied cash with a note, and I clear unapplied every week, because unapplied cash makes the aging lie and makes customers get calls about invoices they paid.

Mistakes to avoid

A practice plan for the week before

  1. Rehearse the month-end process and the short-pay and late-customer answers aloud.
  2. Practise an aging analysis, a lookup and a simple reconciliation in Excel.
  3. Write stories for a collections win, a dispute and an error.
  4. Run a mock interview from the posting and answer aloud.
  5. Prepare questions about invoice volume, DSO, systems and how disputes are routed.
