Bookkeeper interviews test accuracy and process: how you reconcile accounts, handle accounts payable and receivable, close a month, catch and fix errors, and protect financial data. Expect questions about the software in the posting, a scenario about a reconciliation that does not balance, and often a short practical test. Role-specific preparation is in AI interview help for bookkeepers; the next step up is covered in accountant interview questions, and the seasonal cousin role in tax preparer interview questions. This page gives 10 questions with what a strong answer contains, 3 sample answers you can adapt, a table of the rounds to expect, and a practice plan for the week before.
What the interview looks like
| Round | What happens | Prepare |
|---|---|---|
| Screen | Software (QuickBooks, Xero, Sage, NetSuite), company size and industry, full-cycle experience, payroll, certifications | Software with versions and the scope you have handled |
| Controller or owner interview | Reconciliation and close scenarios, AP and AR, errors, controls, behavioral | Scenario answers that end with the reconciliation balancing |
| Practical test | Reconcile a sample bank statement, categorise transactions, find errors | Practice reconciliations in the posting's software |
Bookkeeper interview questions and what strong answers contain
- Walk me through your month-end close. Bank and credit card reconciliations, AP and AR review, accruals and prepaids, fixed assets, journal entries, financial statements, review with the accountant.
- A bank reconciliation is off by a small amount. How do you find it? Timing differences, transposed digits (divisible by nine), duplicates, bank fees, deposits in transit; a systematic approach.
- How do you manage accounts payable and avoid late or duplicate payments? Approval workflow, due-date tracking, vendor statements, duplicate checks, payment runs.
- How do you handle accounts receivable and chase overdue invoices? Ageing review, polite persistence, escalation, documenting disputes.
- Tell me about an error you found or made and how you handled it. Specific, how caught, corrected, the control added.
- How do you protect financial data and prevent fraud? Segregation of duties, access controls, dual approval, confidentiality.
- Which software have you used, and what is the most complex thing you did in it? Named systems; integrations, classes, reporting, clean-ups.
- How do you work with the external accountant or auditor? Clean books, organised support, responsive to questions.
- How do you handle payroll or sales tax if the role includes them? Deadlines, accuracy, filings, honest experience level.
- How do you handle an owner who wants a personal expense in the books? Explain, record it correctly as a draw or loan, document.
Sample answers
A bank reconciliation is off by a small amount.
I start with the amount itself. If it is divisible by nine, I look for a transposition. If it matches a bank fee or interest amount, I look for a missing entry. Then I compare cleared items against the statement line by line for duplicates and for a deposit or cheque recorded in the wrong period. I do not plug it. A reconciliation that balances because of a plug is not reconciled, and the difference will be back next month, larger.
Tell me about an error you found.
During a clean-up I noticed a vendor had been paid twice three months earlier, two invoices with different numbers for the same amount and date. I confirmed with the vendor, got a credit, and added a step to the payment run: sort by vendor and amount before approving. It caught another duplicate within a month. The owner appreciated the recovery, but the control was the real result.
How do you handle an owner who wants a personal expense in the books?
I record it correctly, as an owner's draw or a shareholder loan depending on the structure, and I explain why: at tax time and in any audit, personal expenses recorded as business expenses are a problem for them, not just for me. Most owners are fine with that when it is framed as protecting them. If one insisted on misclassifying it, I would put my advice in writing and talk to the accountant.
Mistakes to avoid
- Plugging a reconciliation.
- Vague close answers; list the steps.
- No control added after an error.
- Flexibility on misclassifying expenses.
A practice plan for the week before
- Rehearse your month-end close and your reconciliation troubleshooting aloud.
- Practice two reconciliations in the posting's software.
- Write stories for an error found, a duplicate payment, an overdue receivable and an owner conversation.
- Run a mock interview from the posting and answer aloud.
- Prepare questions about volumes, software, the external accountant and whether payroll or sales tax is in scope.
