Accounts payable interviews test accuracy under volume: three-way matching, coding invoices correctly, handling discrepancies and vendor calls, meeting payment runs and discount deadlines, and spotting duplicate or fraudulent invoices. Expect questions about the ERP in the posting, a scenario about a mismatched invoice, and often a short test. The wider bookkeeping context is in bookkeeper interview questions and accountant interview questions, and the organisation question has a standard answer in how do you stay organized. This page gives 10 questions with what a strong answer contains, 3 sample answers you can adapt, a table of the rounds to expect, and a practice plan for the week before.
What the interview looks like
| Round | What happens | Prepare |
|---|---|---|
| Screen | Invoice volumes, ERP and AP automation tools, full-cycle AP, 1099s or VAT, industry | Volumes per week and systems by name |
| AP manager interview | Matching and coding, discrepancies, vendor relations, payment runs, controls, behavioral | Scenario answers with the control named |
| Test | Code and match sample invoices, find the duplicate | Practice matching logic and GL coding |
Accounts payable specialist interview questions and what strong answers contain
- How many invoices do you process, and in which systems? Honest volume per week, systems, automation tools, approval workflows.
- Explain three-way matching and what you do when it fails. PO, receipt, invoice; identify which is wrong, contact the requester or vendor, hold until resolved, document.
- How do you code an invoice to the right GL account and cost centre? Chart of accounts knowledge, PO defaults, asking the requester when unclear, consistency.
- A vendor calls angry about a late payment. What do you do? Look it up while they are on the line, give facts and a date, fix the cause, document.
- How do you prioritise a payment run with limited cash? Discounts, critical vendors, due dates, approvals; escalate the trade-offs to the manager.
- How do you spot duplicate or fraudulent invoices? System checks, vendor and amount sorting, bank-detail change verification by phone, unusual patterns.
- Walk me through month-end from the AP side. Accruals for received-not-invoiced, ageing review, reconciliations to the GL, cut-off.
- How do you handle vendor master changes, especially bank details? Independent verification by a known phone number, dual approval, audit trail.
- Tell me about an error you made and what changed. Specific, owned, process fix.
- How do you handle 1099 or tax reporting if it is in scope? Vendor setup, W-9 collection, year-end process; honest experience.
Sample answers
Explain three-way matching and what you do when it fails.
The purchase order says what we agreed to buy, the receipt says what arrived, and the invoice says what the vendor wants paid; all three should agree on quantity and price. When they do not, I find out which one is wrong: a receiving shortfall is a conversation with the warehouse, a price difference is a conversation with purchasing or the vendor. The invoice sits on hold with a note until it is resolved. Paying and sorting it out later is how overpayments happen.
How do you handle vendor bank-detail changes?
I never act on an email alone, however genuine it looks. I call the vendor on the number we already have on file, not the one in the email, confirm the change with a named person, and get a second approval before it goes into the master file. We had an email request last year that was a fraud attempt; the call took three minutes and saved a five-figure payment.
A vendor calls angry about a late payment.
I pull up the invoice while they are talking and tell them exactly where it is: approved and in Friday's run, or held because of a quantity mismatch, or never received. Then a real date. If we are at fault, I say so and I get it into the next run. If they never sent it, I give them the right address. Vendors calm down when they get facts instead of promises.
Mistakes to avoid
- Vague on matching; interviewers want the three documents and the hold.
- Acting on emailed bank-detail changes.
- Volumes you cannot back up.
- Describing payment runs without priorities or approvals.
A practice plan for the week before
- Rehearse three-way matching, the bank-detail verification rule and your month-end steps aloud.
- Practice coding and matching a handful of sample invoices.
- Write stories for a mismatch, an angry vendor, a fraud attempt or duplicate caught and an error you made.
- Run a mock interview from the posting and answer aloud with controls named.
- Prepare questions about volumes, automation, approval workflows and month-end timelines.
