What to Do If You're Late for an Interview: Scripts and Next Steps

Notify before the start time, apologize once, and get back to the interview. Example messages we wrote for every situation.

If you're late for an interview, contact the interviewer or recruiter before the scheduled start, give a brief reason and a realistic arrival time, and offer to reschedule if the delay is long. When you arrive, apologize once, thank them for waiting, and move straight into the interview. Being late is a setback, but how you handle it shows the same reliability and composure the interviewer is looking for.

Below are the steps in order, example messages we wrote for email, text, phone and video, guidance on when to reschedule, and how to recover once you're in the room. Lateness is one of the common interview mistakes that's easy to prevent, so the last section covers that too.

What should you do the moment you know you'll be late?

  1. Estimate your real arrival time. Check the map or transit app and add 5 to 10 minutes for parking, security and finding the room. Giving one honest estimate is better than two optimistic ones.
  2. Tell them before the start time. Call or message the person who scheduled the interview, usually the recruiter or coordinator. If you have the interviewer's contact details too, include them. A message sent 15 minutes before the start is far better than an apology at the door.
  3. Keep the reason short. "A train delay" or "an accident on the highway" is enough. Long explanations sound like excuses.
  4. Offer a choice. Let them decide whether to wait, shorten the interview or reschedule. Their calendar may have other candidates or meetings right after yours.
  5. Get there safely. Don't drive faster to make up time. Once you've sent the message, the hardest part is done.

What to say: example messages we wrote

Adapt these to your situation. Keep each one short enough to read in a few seconds.

Phone call (best if you're more than 10 minutes late)

"Hi, this is Jordan Lee. I have a 2:00 interview with Priya Shah for the operations analyst role. I'm sorry, my train has been held and I'll arrive around 2:15. I can still make the interview work if that suits Priya, or I'm happy to reschedule if a later time is better."

Email or text to the recruiter

Subject: Running late for 2:00 interview, Jordan Lee

"Hi Sam, I'm sorry, I'm running about 15 minutes late because of a highway closure. I expect to arrive at 2:15. If that no longer works for Priya's schedule, I'm glad to reschedule at a time that suits her. Apologies for the disruption. Jordan Lee, (555) 010-0199"

If you're only a few minutes late

"Hi Sam, I'm about five minutes away and will be there at 2:05. Sorry for the short delay."

Put your name, the interview time and your phone number in every message. Coordinators often handle several interviews at once.

Should you ask to reschedule?

It depends on how late you'll be and how long the interview is. As a rough guide:

How lateWhat to doExample wording we wrote
Under 5 minutesSend a quick heads-up and arrive"I'll be there at 2:04. Sorry for the short delay."
5 to 15 minutesCall or message, give your arrival time and offer flexibility"I'll arrive at 2:15. Happy to shorten the session or reschedule if that's easier."
15 to 30 minutesCall, and offer rescheduling as the first option"I don't want to cut into Priya's afternoon. Would it be better to move to another day?"
Over 30 minutes, or unknownAsk to reschedule, and confirm by email"I won't be able to get there in a reasonable time. Could we find another slot this week?"
Emergency (illness, accident)Tell them as soon as you safely can and ask to reschedule"I've had a family emergency and need to reschedule. I'm sorry for the late notice."

If the company chooses to go ahead with a shorter interview, accept gracefully and prioritize your strongest material. In an onsite with several back-to-back rounds, a delay can push the whole schedule, so offer rescheduling earlier. If you've already missed the interview entirely, contact the recruiter the same day, apologize, explain briefly and ask whether you can rebook. Many will, especially if it's a first occurrence.

What if you're late to a video interview?

On video, lateness usually comes from technology: a forced software update, a link that won't open, a microphone that isn't detected. The steps are the same, with a few changes:

Example message we wrote: "Hi Priya, my laptop started a required update just before our call. I'm joining from my phone now and will be in within two minutes. Sorry for the delay."

Most video delays are prevented by a test call in the same app 30 minutes before. Our Zoom interview tips cover setup, and the list of virtual interview mistakes covers the rest.

How to recover once you arrive

The apology should take ten seconds, not ten minutes. Then your job is to show the interviewer the same person they would have met on time.

  1. Apologize once, clearly. Example we wrote: "Thank you for waiting, and I'm sorry for the delay. I appreciate your flexibility." Don't keep apologizing later in the interview.
  2. Don't over-explain. If they ask what happened, give one sentence and move on.
  3. Take ten seconds to settle. Sit down, take a slow breath, and put your notepad on the table. Rushing into your first answer while you're still flustered is a bigger risk than the lateness. Our interview anxiety techniques help here.
  4. Adjust to the shorter time. Keep answers tight and lead with your strongest examples. A prepared 60-second answer to "Tell me about yourself" gets you back on track quickly.
  5. Mention it once more in your thank-you note. A single line such as "Thank you again for your flexibility this afternoon" is enough. Our thank-you email templates are ready to adapt.

FAQ

Is it OK to be 5 minutes late to an interview?

It's not ideal, but it's usually recoverable if you let them know before the start time. Send a short message with your arrival time, apologize once when you arrive and move on.

Should I call or email if I'm running late for an interview?

Call if you're more than about 10 minutes late or the interview starts very soon, because email may not be read in time. Follow up with a short email or text so the details are in writing.

Will being late ruin my chances?

Not necessarily. Many interviewers will make allowances for a delay you flagged in advance and handled calmly. Arriving late without warning, or appearing flustered for the whole interview, does more damage than the delay itself.

What do I say when I arrive late to an interview?

Keep it brief: "Thank you for waiting, and I'm sorry for the delay." Give a one-sentence reason only if asked, then focus on the interview.

What if I'm late to a video interview because of technical problems?

Message the interviewer or recruiter right away, explain in one sentence, and offer a backup such as joining from your phone. Then fix the issue or switch devices as quickly as you can.

What should I do if I missed the interview completely?

Contact the recruiter the same day, apologize, give a brief reason and ask whether you can reschedule. Don't wait for them to contact you.
