A staffing or recruitment agency needs something slightly different from an interview copilot than an in-house team does: the same questions for every candidate on a requisition, scored answers a client can read without knowing the recruiter, a submittal write-up produced in minutes rather than typed after the twentieth call of the day, and candidate consent that holds up across many clients. Speed is the business, and the failure mode is notes so thin that the client interviews the wrong three people. This page covers the agency workflow, client-specific templates, and the consent question when the candidate's data moves to a client.
The agency workflow
- Intake: turn the client's requisition into four to six competencies and let the copilot generate the screening questions. Save the set for the requisition.
- Screen: run every candidate through the same questions, disclose the assistant, score live.
- Submittal: use the report's section scores and quoted answers as the backbone of the write-up; add availability, rate and notice in your own words.
- Client interview: send the flags you want the client to probe, so their round builds on yours instead of repeating it.
- Placement and feedback: compare your scores with the client's decision to calibrate the next requisition.
The second step is where agencies gain the most. A consistent screen is what lets a client trust a shortlist. Our guide to interview copilots for recruiters covers the call itself.
Templates per client and per requisition
Agencies serve clients with different vocabularies: one calls it "ownership", another "accountability", and both mean the same competency. A copilot that supports custom question templates per role lets you keep a template per client so the submittal reads in the client's language. On CoPilot Interview, custom templates per role and a centralized evaluation dashboard are part of team plans; the base Interviewer Mode generates questions per role without saved templates.
| Agency need | What to look for |
|---|---|
| 20+ screens a day per recruiter | Live scoring with evidence notes, so nothing is reconstructed later |
| Several clients | Templates per role or client; reports in the client's competency language |
| Fast submittals | Report with scores, quotes and flags you can paste into your write-up |
| Client trust | Consistent questions and scores across every candidate on the req |
| Many recruiters | Central view of evaluations for the account manager; volume licensing |
Consent when data moves to a client
Two consents are involved: the candidate agrees to be scored by an assistant during your screen, and the candidate agrees that your summary goes to the client. Say both in the opening: "I use an AI assistant to take notes and score answers against the role criteria, and a summary of this call goes to the client with your submittal. Is that okay?" Keep the audio handling simple to explain. With CoPilot Interview, audio is streamed in short segments for transcription and not stored on our servers; the transcript lives in the recruiter's Documents folder. Decide, per client, whether the client receives scores and quotes or only your write-up.
Shortening time to submit
Agencies lose placements to speed more than to quality. The copilot's contribution is removing the write-up delay: a screen that ends at 3:00 can be a submittal at 3:10 instead of 6:30. Pair that with the process changes in how to shorten your hiring process, most of which apply to agencies, and measure the median time from screen to submittal before and after.
Where CoPilot Interview fits
CoPilot Interview is better known as an AI interview assistant for job seekers; Interviewer Mode is the same desktop app on the recruiter's side, generating role-specific questions, scoring answers live with evidence notes and producing a report with section scores, flags and quotes, free on Windows and macOS. Agencies that need templates per client, a central evaluation view and volume licensing should look at Interviewer Mode and the team plans. In every placement, follow your employer's rules, and your client's, on candidate notice and data sharing.
Disclosure: CoPilot Interview is our product, so weigh what we say about it accordingly.
Frequently asked questions
How do staffing agencies use an AI interview copilot?
To run the same screening questions for every candidate on a requisition, score answers live, and turn the report into a submittal write-up in minutes, with flags the client can probe in their own round.
Can we keep a template per client?
On tools that support custom question templates per role, yes. On CoPilot Interview that is a team-plan feature; the free Interviewer Mode generates questions per role without saved templates.
What consent do agencies need?
Two: consent to be scored by an assistant during the screen, and consent for a summary to go to the client. Say both at the start of the call.
Does the client see the AI's scores?
That is your choice per client. Some agencies send scores and quotes; others send only their own write-up built from them.
Is CoPilot Interview's Interviewer Mode free for agencies?
The base Interviewer Mode is free in the desktop app for each recruiter. Team features such as shared templates, a central dashboard and volume licensing are on team plans.
